** Users with a large number of inbox rules
** Users who have made considerable custom settings changes to their Mail application
** Access to old mail while data is being migrated will require logging in to the Zimbra Web Client
** Large mailboxes may see errors and performance issues initially as existing local folder structures are cleared and rebuilt

=== What E-mail software and connection protocols are supported? ===
* Any client that can connect via IMAP, POP, MAPI, EWS, RPC/HTTP, or ActiveSync should be supported for mail send and receive capabilities.
* CIS has tested and confirmed support for the following clients and platforms
** Outlook for Windows 2007 or later
** Outlook 2011 for Mac
** Mac Mail
** Thunderbird (Windows, Mac, Unix)
** Lightning (for Calendaring)
** iCal (for Calendaring)
** Pine (Windows, Mac, Unix)
** Eudora (Windows)
** iOS devices
** Android devices
** Windows Mobile Devices
** Blackberry Devices
=== Can I synchronize my mobile device with my Exchange mailbox? ===
* Yes, Exchange 2010 supports connectivity from any mobile device that supports IMAP/POP, Blackberry Enterprise, or ActiveSync protocols.
* Activesync or Blackberry Enterprise are the preferred methods, as they will synch your mailbox Calendar and Contact items as well as mail items. IMAP/POP only supports synchronization of mail items.
* Most iOS, Android, and Windows Phones support Activeysnc, as do the newest Blackberry 10 devices. older Blackberry devices leverage the Blackberry Enterprise protocol to connect.
* Connecting via Activeysnc or Blackberry Enterprise protocols requires that you accept the ANL Security policy on your phone the first time you connect.
* The only rule that enforced by the ANL mobile device security policy is a screen lock with a 4 character password. Accepting this security policy will not limit your mobile device in any other way.

=== Where can I find configuration documentation for my E-mail client or Mobile Device? ===
* http://inside.anl.gov/pages/e-mail-client-set

=== What attachments are blocked at the Exchange server level? ===
* .a, .ade, .adp, .asx, .bas, .bat, .bin, .chm, .cmd, .com, .cpl, .crt, .dll, .eml, .exe, .hiv, .hlp, .hta, .inf, .ins, .isp, .js, .jse, .jtd, .msc, .msi, .msp, .mst, .ocx, .oft, .ovl, .pcd, .pif, .pl, .plx, .scr, .sct, .sh, .shb, .shs, .sys,.vb, .vbe, .vbs, .vss, .vst, .vxd, .wsc, .wsf, .wsh

=== What is the current size limit for messages sent or received through Exchange? ===
* Currently, there is a 100mb maximum total message size limit on sent or recieved messages.

=== What is the current size limit for a mailbox hosted on Exchange? ===
* We do not currently impose a size limit on Exchange mailboxes. That being said, your user experience will vary greatly depending on the size of your mailbox and the Email client you use. CIS has posted recommended limits for many popular email clients, which you can also reference below.
=== What are the recommended Mailbox size limitations ===
* Limitations vary based on the client you choose to use to read your mail. Limits for popular clients can be found at the link below. Mailboxes that exceed these limits may experience degraded performance.
* [https://docs.anl.gov/main/idcplg?IdcService=DISPLAY_URL&dDocName=150355 Exchange Email Client Recommendations]

=== From how far back are you able to restore lost E-mail data? ===
* We keep backup data for 35 days from the date of deletion. If you notify us within that time frame, we are usually able to accommodate a restore.

=== Can E-mail be forwarded offsite for non-laboratory employees? ===
* No, for legal and security purposes we are no longer permitted to offer forwarding services for non-employees. This includes former ANL employees.

=== How long are mailboxes kept when an employee terminates? ===
* Mailboxes are currently deleted 14 days after the employee leaves the laboratory. From the day of deletion, management will have 35 days to request an archive copy of that data. Once that 35 days has passed, the mailbox data is permanently purged from the system.

=== When is server maintenance performed? ===
* Exchange server maintenance is performed on Tuesday's after 7:00 pm local time and on scheduled maintenance weekends as needed. In most cases, no service disruptions occur. In the even that a planned maintenance is known to result in a service outage, there will be sufficient notification.

== Why are we transitioning from Zimbra to Exchange? ==
The Laboratory Information Technology Strategy Council made this decision based on analysis conducted by a cross-lab working group who worked over several months to understand the benefits and impacts of the consolidation to the programmatic areas. Your core representatives on the council are Mike Papka (CELS), Ray Bair (CELS), Bill Ruzicka (AES), John Maclean (AES), Stephen Streiffer (PSE), Tracy Rager (DIS) and Roger Blomquist (NE).

Benefits identified as part of the consolidation include:
* Flexibility - Full support for a wide variety of email clients and web browsers on Mac, Linux, Windows and modern mobile devices.
* Improved reliability/interoperability across the laboratory — Improved cross-laboratory calendaring and consistent service levels.
* Cost avoidance — Reduced management and upgrade costs.
* Improved mobile device support — Microsoft owns and licenses the de facto industry standard, “Active-Sync,” for accessing email and calendaring across a broad set of mobile devices and platforms. This will help us keep pace with release of new mobile computing devices.
* Market share — Exchange is the leading platform. Being a leading platform results in better availability of skills and support information. In addition there is a broad ecosystem for third-party support and add-on products. For example: archiving, eDiscovery and cyber security.

== What is the timeline for this project? ==
Migrations will begin in June and continue through the end of the calendar year. Mailboxes will be migrated in small groups of about 50 users at a time. CIS will coordinate with divisional and functional group IT Administrators to determine appropriate timelines. Individual E-mail based notifications will be sent out as more specific migration schedules are established. Multiple notifications will be sent, giving users with ample time to prepare for the coming transition.

== How will the migration proceed? ==
A cut-over style migration process will be employed to transition your mailbox. This method has worked very well in the past in our environment, especially when migrating across different e-mail platforms. Migrations will be performed each evening Sunday through Thursday, unless the following morning is a Laboratory holiday. A basic outline of the process is described below.
* You will receive notification of your migration date no less then two days prior to your scheduled migration
* At the time of first notification, you will also receive client configuration change documentation, basic how-to documentation for accessing your new mailbox, and contact information for obtaining technical support.
* On the day of your migration, you will receive an additional reminder and links to the aforementioned documentation and support information.
* On the night of your migration, your Exchange mailbox will be created. All new incoming mail for your address will be set to deliver to this mailbox only.
* Existing E-mail will begin migrating to your Exchange mailbox. [https://wiki.inside.anl.gov/inside/MigrationWiz_Test In our testing], Data Migration rates have averaged about 500mb per hour. Depending on the total size of and number of items in your mailbox, a full migration may take a few hours, or several days. As a result, you may not immediately see all of your old mail, contacts, or calendar items. They will migrate in over time.
* You will be able to access the existing mail in your Zimbra mailbox during the migration, but all new mail will arrive only to your Exchange mailbox.
* E-Mail, Calendar items, Contacts, and Tasks will migrate from Zimbra to Exchange.
* Journal Items, Personal distribution lists, Message rules and filters, Mailbox permissions and Undeliverable message notifications in your inbox will not migrate.
* The morning after your migration, a CIS technical support specialist will be dispatched to your building to assist with completing your transition.
* Once the migration has completed and your e-mail applications have been connected to your new mailbox, your Zimbra mailbox will be closed.

== Will all my data and mailbox settings migrate? ==
* Due to limitations with the migration process and compatibility issues between platforms, only data items can be migrated. For the most part, anything that you would consider a mailbox setting will have to be manually recreated. We will do our best to provide the instruction necessary or otherwise assist you with the replication of these settings to your new mailbox.
* Data that will be migrated includes e-mail items, calendar items, contact items (excluding personal distribution lists), and task items
* Some common items that will need to be recreated manually include permission settings for shared mailbox access, email filters and sorting rules.
* Journal items, Briefcase items, and Undeliverable notifications will not be transferred to your new mailbox

== What should I do to prepare my mailbox for transition? ==
In general there is nothing the end user will be required to do for their mailbox migration. Data will be migrated behind the scenes without the need for user intervention. That being said, there are a few steps users can opt to take ahead of time that will ease the transition of their mailbox and optimize their user experience after migration.
# If you have existing mailbox rules stored on the Zimbra server, familiarize yourself with the [[Media:Creating_a_Mailbox_Rule_With_the_Outlook_Web_App.pdf |mailbox rule and filter creation process]] so you can recreate them in your new mailbox.
# If you have rules or filters stored locally in Apple Mail or Thunderbird, you may want to export them in case you need to re-import them after your migration. You can find the Instructions for doing so below
## [[media:Exporting_and_Importing_Message_Rules_in_Apple_Mail_on_Mac_OS_10.pdf | Apple Mail Message Rule Import/Export]]
## [[media:Exporting_and_Importing_Message_Rules_in_Thunderbird.pdf | Thunderbird Message Filter Import/Export]]
# If you are connected to any shared calendars, you will need to reestablish those connections within your new mailbox. Instructions for connecting to a shared calendar via Outlook Web App and Apple Calendar can be found below. Since we are only migrating twenty users each day, the shared calendar you are looking for may not yet have been migrated. You can request a shared calendar be queued for migration by contacting your Divisional IT support.
## [[Media:Connecting_to_a_Shared_Calendar_with_Outlook_Web_App.pdf | Connecting to a Shared Calendar With Outlook Web App]]
# Delete any mailbox items that are no longer needed. The smaller the mailbox, the more quickly it will migrate.
# If you have a large mailbox (over 10gb), or have a large number of items in any of your critical folders (Inbox, Sent Items, Calendar, or Contacts), consider migrating older or less frequently accessed mail out of these folders and into other areas of your mailbox.
# Review the [https://docs.anl.gov/main/idcplg?IdcService=DISPLAY_URL&dDocName=150355 ANL Exchange Email Client Recommendations.pdf] document as it pertains to your preferred e-mail client. Note the recommendations for maximum mailbox size, folder size, and items per folder, and adjust your current mailbox accordingly before migration.

'''Note:''' You will need to [[CIS Email Services/Zimbra User Documentation/Sharing with Others | create a public calendar and enable public sharing]] for most of these HowTos

== View, add, and delete events from iCal on the Mac ==

If you use a Mac, you probably want to have full read and write access to your calendar from iCal, the standard Mac calendar application. Instructions for doing this using CalDAV, a protocol for calendar synchronization, are provided on the [https://wiki.anl.gov/public/CIS_Email_Services/Zimbra_User_Documentation/CalDAV Zimbra CalDAV wiki page].

[https://wiki.anl.gov/public/CIS_Email_Services/Zimbra_User_Documentation#Desktop_Client_HOWTOs Information on other desktop clients].

== View, add, and delete events from your iPhone ==

If you have an iPhone, and you want to have full read and write access to your calendar from it, your best bet is to use [http://wiki.mcs.anl.gov/IT/index.php/Mail:iPhone Option 3 from the MCS IT Wiki page on iPhone configuration].

In my case I have turned off Mail and Contacts synchronization and only use this for Calendar synchronization (because I have all my mail redirected to Google's gmail, and I do all my contact synchronization through Apple's Mobile Me):

[[File:iphone_zimbra_mail_contacts_off.png|250px]]

Also, I have selected my Zimbra public calendar as the default calendar for events on my iPhone:

[[File:iphone_default_calendar.png|250px]] [[File:iphone_default_calendar2.png|250px]]

[https://wiki.anl.gov/public/CIS_Email_Services/Zimbra_User_Documentation#Mobile_Device_Client_HOWTOs Information on other mobile device clients]

== How anyone can view the public calendar from their Google Calendar web interface ==

If you want to let someone view your public calendar from their web-based Google Calendar view, you first need to know the [[CIS Email Services/Zimbra User Documentation/Sharing with Others#public url | public URL of your public calendar]] (don't use the version that ends in .html). When they use their web browser to go to http://calendar.google.com, they should look at ''Other Calendars'' near the bottom left, select ''Add'', and ''Add by URL'':
[[File:gcal_add_by_url.png|300px]]

Now they should enter the [[CIS Email Services/Zimbra User Documentation/Sharing with Others#public url | public URL for your public calendar]]; again, don't add the
.html
on the end (unfortunately the full string doesn't fit in this view, but again it is
http://zimbra.anl.gov/home/johndoe@zimbra.aps.anl.gov/CJpublicANLl
):

[[File:gcal_add_by_url2.png|250px]]

They may also want to change the name of the calendar to something better than the default, which they can do in the ''Settings for their Other Calendars'':

[[File:gcal_name_embed.png]]

Your Zimbra public calendar will now show up as one of their Google calendars. However, be warned! Google seems to only refresh this information once per day, as noted in discussions [http://www.google.com/support/forum/p/Calendar/thread?tid=79a3df858265c722&hl=en here] and [http://www.google.com/support/forum/p/Calendar/thread?tid=586c2d06ec88d65b&hl=en here], so their view of your calendar could be as much as 24 hours out of date in this view.

== How anyone can view the public calendar from iCal ==

If you want to let someone view your public calendar from iCal on the Mac, one way to set this up is as follows:
# Tell them to {#How anyone can view the public calendar from their Google Calendar web interface | add your public calendar to their list of Google calendars] as described above.
# In iCal, make sure that the public calendar is checked among their "delegates."

[[File:ical_delegates.png]]

== How anyone can view the public calendar from their iPhone ==

If you want to let someone view your public calendar from their iPhone, they first need to know the [[CIS Email Services/Zimbra User Documentation/Sharing with Others#public url | public URL]] of your public calendar. On their iPhone, they should go to ''Settings'', then ''Mail, Contacts, Calendars'', and then ''Add Account''...

[[File:iphone_add_account.png]]

They then select ''Other'', and ''Add Subscribed Calendar''. They can then add the [[CIS Email Services/Zimbra User Documentation/Sharing with Others#public url | public URL]] for your public calendar, such as <ode>http://zimbra.anl.gov/home/johndoe@zimbra.aps.anl.gov/CJpublicANL
(that is, without the
.html
at the end):

[[File:iphone_add_other.png]] [[File:iphone_add_subscribed.png]] [[File:iphone_subscription.png]]

By the way, if they want to turn on and off the display of particular calendars on their iPhone, they can go to the Calendar app, select ''Calendars'' at the upper left, and select what calendars are shown:

[[File:iphone_calendars_to_display.png]] [[File:iphone_show_calendars.png]]

== How to make your public Zimbra calendar viewable within a web page ==

To make your public Zimbra calendar viewable within a web page, just insert into the web page a link to the [[CIS Email Services/Zimbra User Documentation/Sharing with Others#public url | public URL]] of your public calendar (and this time you do use the version ending in
.html)
:

http://zimbra.anl.gov/home/johndoe@zimbra.aps.anl.gov/CJpublicANL.html

== How do I log in?==
You can log in via the Web Interface (or Web GUI) by clicking here. You may want to bookmark this link:

In addition to the web interface, Zimbra supports POPs, IMAPs, and MAPI for Outlook. You can find more info using these protocols with external mail clients elsewhere in this document.

== Right-clicking (Linux, Windows) and option-clicking (Mac) ==
The Zimbra web interface is quite capable, and behaves much like a typical desktop application. Many items in the web interface will give you a menu of options if you right-click or option-click on them. If think something might have additional options or actions, try right-clicking or option-clicking on it.

== How do I filter my mail? ==
See the [http://wiki.zimbra.com/index.php?title=Zimbra_Web_Client_Mail_Filters Zimbra Web Client Mail Filters] document at Zimbra.com.

== How do I share (delegate) one of my calendars with someone? ==
See [[CIS Email Services/Zimbra User Documentation/FAQ/HOWTO Share Your Calendar | HOWTO Share Your Calendar]].

== How do I View Message Headers (Complete Message Source) for an Email I Have Received? ==
* Open the message in question.
* Select the message in the "Conversation List". ''The conversation list is the list of messages above the Subject line.''
* Right-click on the message and choose "Complete Source".

== How do I change my From: address? ==
It is possible for you to change your own From: address, via your preferences page, to any of your Zimbra aliases or your full account name. If you desire to have a From: address such as finley@anl.gov (highly recommended), please contact your Zimbra Administrator, or help@anl.gov, to request this. Your Zimbra Administrator has the ability to set this as your "canonical address".

== I've changed my From: address in preferences, why isn't it working? ==
If your Zimbra Administrator has specified a canonical address for your account, it will override the From: setting on your preferences page.

== When I subscribe to a mailing list, it sees me as "user@zimbra.division.anl.gov" instead of the Reply-To: address I specified. How do I fix this? ==
When you subscribe to an email list, the list management software will likely prefer the address on your "From:" line over the address on your "Reply-To:" line. See '''"How do I change my From: address?"''' elsewhere in this document for information on how this can be changed.

== When I click on some attachments they open, but others do not. Why? ==
Your web browser may be blocking pop-ups.

Some attachments, such as a .pdf file, are typically opened by starting another application, such as Adobe Acrobat Reader. But if your attachment is a forwarded email message, Zimbra may want your browser to open it in a pop-up window.

To fix this so that you can see these attachments, look towards the top of your browser window for a notice about pop-ups being blocked. You will probably find a preferences button, or an "allow pop-ups from this site" button that you can click to resolve your issue.

== How can I view a resource or location's schedule as a Calendar? ==

If your administrator has enabled this ability for a resource, you can add it as a Calendar on your Calendars page. To add it:
*Right-click the word "Calendars" above your Calendar list and select''Link to shared calendar''.
*Enter the resource as ''name''@''domain''. (Example: ''4188@tcs.anl.gov'')
*This is a read-only view. Appointments using resources should be entered by including the resource on the attendee list when adding or editing an appointment. If a resource is already booked, it will not be shown as available.

== How can I add the CIS division calendar (under Sharepoint) to my Calendars? ==

The Sharepoint resource link that you'll want to use can be found by:
* pointing your browser at the Sharepoint divisional calendar: https://sharepoint.anl.gov/Divisions/cis/Lists/Division%20Calendar/calendar.aspx
* clicking the "Custom Commands" tab
** if this produces no response, try a different browser - the javascript may not work with chrome.
* clicking on "Copy iCal URL to clipboard"
* clicking on "Copy URL to Clipboard"

then going to the Zimbra web client and:
* clicking the "Calendar" tab
* clicking "Create a new calendar" at the top of the "Calendar" strip on the left
* providing a Name and Color for the calendar, and clicking both checkboxes
* entering the URL in your clipboard into the "URL:" text box
* clicking "OK"

The calendar should now be visible.

:* Treo 650
:* Treo 755

== Connect to Zimbra using Versamail ==
# Open Versamail on your Treo. Select the tab at the top left of the versamail screen to bring up the menus. Go to Accounts and choose account setup.

# Either highlight the Versamail account and choose edit, or create a new account by choosing new.

# Name the account whatever you like, and choose Exchange ActiveSync as the Mail Service. Click next when done.

# Enter your Zimbra Account Username. This is usually in the form user@zimbra.anl.gov. then click the password box and type in your password. Click next when done.

# Enter your email address as you would like it to appear when you reply to messages. Also enter your mail server, which should be '''zimbra.anl.gov'''. Click Next

# Click the advanced button, then enter 443 as the port number and check the "Use Secure Connection (SSL)" Box. Click Previous When you are done.

# Back at the prior screen, click the "Test Settings" Button. you should get a "Success" message.

# If you do not get a "Success" message, use the previous buttons to step back through the setup and verify your user, password, and server settings.
# If you do get a "Success" message, go ahead and click done.
'''Note:''' Depending on how your Treo was configured before, you may recieve a message saying Email and calendar info must be deleted on your device. This is by design to eliminate duplicate messages, so say yes to this request.

== Custom Settings ==
Below are some recommended, but not required, configuration settings for your Treo Mail account.
* Select the tab at the top left of the versamail screen to bring up the menus, choose the options menu, then preferences.

* Under the "server" setting, UNCHECK the "delete mail on server after deleting from versamail" button. This is highly recommended to prevent the loss of mail from your Zimbra Mailbox.
* Under the "AutoSync" setting, set the frequency and times you would like your Treo to check your mailbox for new information. The picture shows settings for every 5 minutes, just remember that the more frequently you check for messages, the more frequently you will have to charge your device

* Under the "Deletion" setting, check the options you would prefer. it is recommended that you clean out items in your trash at least once a week

* Under the "Delivery Options" setting, choose from how long ago and how large of attachments to download. choosing a small maximum message size will help keep the treo from filling up. You can always download a larger attachment manually by opening the message in versamail and clicking on the attachment. The "Mail From Last" setting is really only relevant during your first connection and if you have gone long periods of time without downloading. To ensure speedier downloads, I would recommend no more than 1 week unless absolutely necessary.

== Sharing Your Calendar With Others ==

=== Creating a Public Calendar ===

As a first step to making public sharing possible, you should create a calendar that is
# separate from your default calendar and
# by its name it reminds you that it's a publicly-viewable calendar.

You should choose a name with no spaces in it; in my case I chose a name of "CJpublicANL" for my publicly-viewable Zimbra calendar. To do this, first go to the web page http://zimbra.anl.gov and log in. Pick the ''Calendar'' tab at the top, and then create a new calendar by clicking on the ''calendar add'' button at the upper left:

[[File:zcal_create_calendar.png]]

When you click on this to create your new calendar, type the name you've chosen ('''without spaces!''') and perhaps color it red to remind yourself that it's a publicly-viewable calendar:

[[File:zcal_name_calendar.png]]

Your new calendar now exists. However, you still need to do two more things in Zimbra:

* [[#Sharing your calendar within Argonne|Share the calendar with a colleague at Argonne]], so that they can view it and add or edit events.
* [[#Sharing with Everyone|Share the calendar for viewing (read-only) by anyone]].

=== Sharing your calendar within Argonne ===

To share the calendar with a colleague at Argonne, so that they can view it and add or edit events, you first need to know that person's Zimbra email address. Let's say that you want to share your calendar with
johndoe@zimbra.aps.anl.gov
. From the Zimbra web page, click the ''Preferences'' tab at top right, and then pick ''Sharing'' in the ''Preferences'' menu at left. At the bottom of the screen, select ''Calendar'' as the Folder type, and then click on ''Share'':

[[File:zcal_sharing.png|600px]]

You then have to select your public calendar as the one to share, and
click ''OK '' at the bottom:

[[File:zcal_sharing_which_calendar.png|400px]]

The sharing window will now pop up. Pick ''Internal users or groups'' at the top, enter the ''Email'' address, select the ''Role of Manager'', and click ''OK'' at the bottom:

[[File:zcal_share_internal.png|400px]]

The person you have added will now get the standard email message informing them of their access to your public calendar. Remember, in this case by selecting ''Manager'' for the Role you've given them permission to add and remove events.

=== Sharing with Everyone ===

You will see two Universal Record Locators or URLs at the bottom. Unfortunately, the middle of the text is filled in with an ellipsis, but if your Zimbra email username is
johndoe
, you are at the APS at Argonne, and your public calendar name is
CJpublicANL
, the two URLs for your public calendar will read

Make note of your public calendar's URL.

Please note that Mozilla Lightning/Sunbird software and still very much under development.
* As of Sunbird 0.8 with ZCS 5.06, one can subscribe to a Zimbra calendar in order to view and modify items. However, things are still quirky.
* As of 5.0RC1 and earlier, Calendar events cannot be 'deleted' from Sunbird. They must be marked as 'Status: Canceled' through the menu Options -> Status -> Canceled .

== Executive Summary ==
[http://www.mozilla.org/projects/calendar/releases/lightning0.8.html Lightning] is a calendar extension for Mozilla Thunderbird®, which can integrate with your Zimbra calendar.

;WARNING: Use at your own risk of frustration. Lightning appears to work fine, then doesn't, then does again. So, your mileage may vary. --[[User:Finley|Brian Finley]] 17:22, June 2, 2009 (CDT)

== Textual HOWTO ==
'''1)''' [http://www.mozilla.org/projects/calendar/releases/lightning0.8.html Download and install the Lightning extension] (may require a restart of Thunderbird).

'''2)''' Click on the Caledar icon in the bottom left corner of Thunderbird.

'''3)''' From the menu, go to "File -> New -> Calendar". Choose "On the Network" and click <Next>.

'''4)''' Choose "iCalendar (ICS)" and specify the location of the calendar, then click <Next>. In this example, the URL for my main calendar is:
<nowiki>https://zimbra.anl.gov/home/</nowiki>'''finley'''@zimbra.anl.gov/'''Calendar'''
:Be sure to change the bolded portions to your '''username''' and your '''calendar name'''. If you have a space in your calendar name, replace it with '''%20'''. For example, to access my "Holiday Events" calendar, I would use the URL:
<nowiki>https://zimbra.anl.gov/home/</nowiki>'''finley'''@zimbra.anl.gov/'''Holiday%20Events'''

'''5)''' Give the calendar a name you'll use for it in Lightning, and set a color for it if you like, then click <Next>.

'''6)''' You're done! Click <Finish>.

== Sharing your calendar within Argonne ==
